About the Role
We’re looking for a Booking Specialist who brings heart, energy, and hustle to the table. This role isn’t just about scheduling appointments—it’s about shaping someone’s very first step toward better mental health.
Helps someone take the leap into therapy for the first time.
Builds trust with clients who may be nervous or hesitant.
Keeps care on track when life throws curveballs with cancellations or reschedules.
This is a chance to combine your communication skills, sales drive, and customer service experience in a role where your work has a direct impact on people’s lives.
What You’ll Do
Connect & Care – Be the first voice patients hear; build trust quickly and make them feel safe moving forward.
Guide the Journey – Walk clients through intake, insurance, and scheduling, removing any roadblocks along the way.
Motivate & Enroll – Use your sales and service skills to encourage patients to commit to care and show up for their first session.
Communicate Clearly – Deliver excellent written and verbal communication via phone, text, and email with empathy and professionalism.
Maximize Access – Handle cancellations, reschedules, and follow-ups so no one slips through the cracks.
Collaborate & Improve – Share insights from patient interactions to help improve our systems and care delivery.
Exceed Goals – Meet and exceed booking targets, knowing that every “yes” means someone is finally getting the help they need.
What We’re Looking For
Bilingual (Spanish) required.
1–2 years of experience in a medical, mental health, or customer-facing scheduling role.
Exceptional written and verbal communication skills—you know how to explain complex things simply and leave people feeling understood.
A sales and service mindset—you can guide hesitant clients toward a decision with warmth and confidence.
Goal-oriented and motivated—you thrive on hitting targets and see efficiency as a way to help more people.
Highly organized and detail-oriented, with the ability to manage multiple priorities in a fast-paced environment.
Experience with multitasking across various systems (Zendesk, scheduling, etc.).
Familiarity with HIPAA and commitment to patient privacy.
Flexibility to work weekends.
